ParcelClaim

How to complain to the right DHL parcel service in the UK

Quick answer: Identify the division first. DHL’s UK contact page separates Express from eCommerce UK, formerly DHL Parcel UK. Express private-individual support is 0344 248 0012; eCommerce UK is 02476 937 770. Their claim and review processes are different.

Official DHL complaint and contact options

DHL Express

Use the Express contact section for chat, email options and its Complaints/Claim categories. Express waybills have 10 digits; check the service name as well as the reference.

DHL eCommerce UK

Use the eCommerce contact form and phone above. DHL’s contact page describes 14-digit UK shipment references, 7-digit calling cards and 24-digit UK return references starting JJD. These contacts are not for all DHL divisions.

Step 1: make the initial complaint

Give the division, shipment reference and whether you booked the service or received someone else’s shipment. If the label came from a booking intermediary, include that provider’s receipt so the correct contracting party can be identified.

  • State whether the complaint is about delivery handling, an earlier support response or a claim decision.
  • Describe the action you want the relevant division to take.
  • Keep your complaint reference and the division’s reply together.

Step 2: follow up or request review

The eCommerce UK Complaints Charter provides a Team Manager review, referral to the Executive Desk if still dissatisfied, and further escalation to the Head of Customer Services for its final internal response. Ask through eCommerce Customer Services; this is not an Express procedure.

The cited Express contact page offers a Complaints route but does not set out that same staged appeal process. As practical guidance, ask Express support to review the unresolved decision with the earlier case reference. No universal DHL escalation team or independent ADR route is claimed here.

Complaint vs compensation claim

For Express, the UK Claims Guide says that in almost all situations the shipper makes the claim. Inbound international shipments may require release of rights from the origin and shipper unless billed to a UK account. A recipient’s investigation request is not automatically a compensation application.

For eCommerce UK, its published account claims policy requires a query to Customer Services before registration on the claims portal; it is written for the shipping customer and provides for account credit where liability is accepted. A direct online-send booking has its own terms. Use the route matching who paid and how the shipment was booked. Keep damaged goods and packaging for the relevant inspection process.

Information and evidence to prepare

  • Division and exact tracking/waybill reference.
  • Booking channel, shipper/account details and any authority to act.
  • Earlier support or claim decision, with the unresolved evidence identified.
  • Shipping/value receipts and photographs; retain contents and packaging where damage is alleged.

Help with common DHL parcel problems

For the underlying parcel issue, use the relevant guide. Keep the complaint focused on the service or decision you want reviewed.

Retailer arranged the delivery?

For a UK consumer purchase from a business where the seller arranged delivery, Citizens Advice guidance puts delivery responsibility with the seller. Asking the courier to investigate can help, but the seller is normally the party to pursue for the missing-order remedy.

If you independently appointed a carrier not offered by the seller, or the purchase was from a private seller, the position can differ. Identify the actual booking and purchase arrangements rather than treating every recipient as the courier’s contractual customer. For returns, check who supplied or paid for the return service.

Use retailer says contact the courier help or missing-order refund guidance for the purchase dispute. Our complaint directory lists retailer contacts.

Tailored to your case • You send it yourself. The draft does not submit an official claim, extend a deadline or establish entitlement to compensation. For a retailer-arranged order, select the buyer route and enter the actual seller; do not use the sender route just because you received a parcel.
